Mailing Lists

Create and import mailing lists and manage direct integration with your connected email marketing provider. Edit mailing list defaults, such as opt-in methods and tags, view and synchronise contacts with the CRM (with conflict detection), and apply bulk actions.

Found under ‘Email Marketing’ > ‘Mailing List’, if you have integrated an email marketing provider with WebinOne, this section will provide mailing list management and contact synchronisation with that service.

Create New List

Using the “CREATE NEW” button will set up a new mailing list for use in WebinOne, which will also be created within your connected email marketing provider with the basic details required.
Once created, changes made to the list settings, either within WebinOne or with the provider, will be synchronised.

Add List From Provider

Using the “ADD FROM PROVIDER” button will display a list of all available mailing lists from your connected email marketing provider, along with the number of subscribers that will be synchronised with the CRM.
You can select multiple lists to import, or import other lists at another time.

All subscribers on the list/s will also be imported into your site’s CRM. However, any existing contacts (with the same email address) that have other mismatching details, will not be updated until those conflicts are resolved (see Sync details below).

Mailing lists that have been added or created will display in the table list on this page, where you can search (by list name), sort via the column headers, edit the list details () or delete lists ().

Mailing List Settings

Details

Existing lists can be managed here, with any changes to the list details reflected in your email marketing provider account.

Creating a new list here will prompt you for all the required information that your email marketing provider will need, and upon saving, the Mailing List will be created in both WebinOne and your email marketing provider in real-time.

If deleting a Mailing List from WebinOne, you will be prompted with the option to delete only the list from the WebinOne admin, or from both the admin and your email marketing provider account.

Tags

When editing the Mailing List within WebinOne, you can add list segmentation Tags which will become available to use in yoru WebinOne signup forms.

Created tags will not directly sync with your email marketing provider, and likewise, tags created in your email marketing account will not automatically sync to WebinOne. Instead, tags assigned to contacts will be passed along, and updated in the list, when a contact is tagged in WebinOne or when the list is next syncronised. So, tags added to a contact in WebinOne will update the email marketing account instantly, and contacts tagged in the email marketing account will update in WebinOne upon the next syncronisation (every 24 hours or when manually actioned).

Subscribers

You can also view and manage list subscribers under the “Subscribers” tab with the ability to remove (unsubscribe) contacts or manually add them.

From this section you can only add subscribers from already existing contacts within your site’s CRM, locating the contact by starting to type their email address into the input field. To add a brand new contect to a list, first add them to the CRM. The subscribed contact will then be pushed to the matching list at your email marketing provider.

Mailing List tags can be applied in bulk to listed contacts by checking the selection checkbox next to the contacts and clicking the “ADD TAGS TO SELECTED” button at the bottom of the table. Likewise, contacts can be unsubscribed in bulk by clicking the “UNSUBSCRIBE SELECTED” button.

Mailchimp Sync

For imported Mailing Lists, all subscribers on the list/s will be imported into your site’s CRM, and whilst the Mailing List is connected, contacts will be syncronised automatically every 24 hours, or when manually actioned via the “Sync Contacts” button.

However, any existing contacts (already in the CRM with the same email address) that have other mismatching details (such as phone number, address, etc.), will not have those data fields updated until those conflicts are resolved.

To manage conflicts, after a sync has been performed, any conflicting contacts will be displayed in a table on this page where each contact can be expanded to display the conflicting fields. The data source/s you select will be used as the source-of-truth to update the contact in the corresponding location, and this can be done on a per contact basis, for more fine grain control, or a global source can be used against the whole table to apply the changes in bulk by using the “APPLY ALL FROM …” buttons at the top of the conflict table.

Subscribe/Unsubscribe states will still be syncronised, regardless of pending data conflicts.
